The practice admin week, typically

Typically, at 8.30am, the phone queue is full of patients asking the same five questions. During lunch, voicemails pile up. Recalls and reminders are sent out in batches when someone has a spare moment, which is why they often slip. Cancellations leave empty chair-time that a waiting list could fill. The front desk handles all this while also being the friendly face for the anxious person at the counter. Clinical work stays on schedule, but everything else relies on heroics.

The routine-question layer

Hours, parking, prices, availability, 'is this covered' — answered instantly on the website and behind the phone line, around the clock, from your real fee list and diary. The queue shrinks to the calls that need a person.

Recalls, reminders and the waiting list

Due-recall letters drafted and sent on time, appointment reminders that actually cut no-shows, cancelled slots offered automatically to the list. This is capacity recovered from thin air — empty chair-time is the most expensive silence in the building.

Missed-call capture

The call nobody could take gets an immediate text back — answering the likely question, taking the booking request, promising the callback. An unanswered new-patient call currently converts at whatever your competitor's front desk is like.

The hard lines — firmer here than anywhere

Nothing clinical
