Privacy Policy

This policy explains what personal data Katalis collects when you use this website, chat with Katalis, or use our free business tools, how we use it, who we share it with, and the rights you have. We keep it plain — no legal fog.
Katalis is an independent business, run as a sole trader, and is the data controller responsible for your information. We are registered with the UK Information Commissioner's Office (ICO). If you have any questions about this policy or your data, email us at katalis@meetkatalis.com.
What we collect
We only collect what we need to help you:
- Enquiry details — when you book a chat or fill in the contact form: your name, email, what your business does, what you'd like AI to help with, any budget you mention, and — only if you choose to share them — a phone number and how you'd prefer we reach you (a call, WhatsApp, or email). We only use a number you give for WhatsApp if you ask us to.
- Conversation content — the messages you send Katalis in the on-site chat. We store these so we can understand what visitors need and improve the service and Katalis's answers over time. Please don't share sensitive personal details in the chat.
- Basic usage data — anonymous, aggregated analytics about how the site is used, and standard server logs (such as your browser type and rough request info) needed to run the site securely. If you accept optional cookies, we also record anonymised session interactions (like page journeys, clicks and scrolling) to help us improve the site — you can decline this, and text you type is masked.
- Business Score tool — when you use our free business-analysis tool, we take the website or business name you enter and look it up in publicly-available sources (the website itself, web search results, and the Companies House register) to produce your score. If you ask for the full report, we collect your email address to send it to you and to follow up about how we might help.
- Marketing review uploads (members) — if you're a member and upload a screenshot of your own marketing or advertising dashboard for review, we send that image to our AI provider to read the figures and give you feedback. We don't keep the image after your review, we don't share it with anyone else, and it is never used to train AI models. Please only upload data you have the right to share.
We do not ask for sensitive personal information, and you should not send us any through the chat.
How we use it
- To reply to your enquiry and arrange a conversation with our team.
- To power the Katalis chat and give you helpful, relevant answers.
- To understand what visitors need and improve the site and service.
- To run the Business Score tool and send you the report you ask for.
- To review marketing screenshots that members choose to upload.
- To keep the website secure, working properly, and protected from abuse or automated overuse of our public tools.
Our lawful bases under UK GDPR are: your consent (which you can withdraw at any time), our legitimate interest in running and improving our business, and taking steps at your request before entering into a contract.
Who we share it with
We never sell your data. We use a small number of trusted service providers who process data on our behalf, under contract:
- Vercel — website hosting, privacy-friendly analytics, and the AI gateway that routes chat messages.
- OpenAI — provides the AI model that generates Katalis's replies, powers the Business Score analysis, and reads any marketing screenshot a member uploads. Your content is processed to produce a response and is not used to train their models.
- Web search & page-reading providers — the Business Score tool sends the website or business name you enter to a search API and a page-reading service to gather publicly-available information about it. Your contact details are not sent to them.
- Supabase — securely stores enquiry details (hosted in the London region).
- Resend and Zoho Mail — deliver and receive our email.
- Microsoft Clarity — if you accept optional cookies, provides the anonymised session-recording and heatmap analytics described above. It does not run unless you consent.
Some providers may process data outside the UK/EEA (for example, in the US). Where that happens, appropriate safeguards such as Standard Contractual Clauses are in place.
How long we keep it
We keep enquiry details for as long as needed to respond to you and to keep reasonable records of our business dealings, then delete them. You can ask us to delete your data at any time.
Emails you give the Business Score tool are kept alongside your other enquiry details. Marketing screenshots that members upload are processed in the moment and not stored afterwards. Short-lived security and rate-limiting records (which can include your IP address) are deleted automatically, usually within a day or two.
Cookies
The public website uses no advertising cookies. Our core analytics are cookieless and never identify you, and a single essential cookie is used only for the private admin area, which visitors never see.
We also offer optional session analytics (Microsoft Clarity), which set non-essential cookies to record anonymised, masked interactions. These load only after you accept them in the cookie banner. You can decline, and you can change your mind at any time by clearing this site's data in your browser — the banner will ask again.
So that Katalis can remember your conversation as you move between pages and if you come back later, we store that conversation and a random id on your own device (your browser's local storage). It stays on your device, isn't shared with anyone, and you can remove it any time by clearing this site's data. We don't use your IP address to identify you or track you for marketing; we do briefly process it to keep the site secure and to rate-limit our public tools against abuse, and those short-lived security records are deleted automatically (within a day or two).
Your rights
Under UK data protection law you have the right to access, correct, delete, or restrict how we use your data, to object to certain uses, and to ask for a copy of it. To exercise any of these, email katalis@meetkatalis.com and we'll sort it. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
We may update this policy from time to time. When we do, we'll change the date at the top of this page.
