A week of small-business admin, with and without AI.
The honest way to answer 'what can AI actually do?' is to walk a week's admin and point. So here's a model week — labelled a model, because I don't invent case studies — including the hours AI doesn't save.

The setup — and the honesty label
This is a typical week for a small business that combines trade, retail, and clinic services. It's not about a specific client but the regular admin tasks that small businesses often face. These tasks are spread out over a week to show where automation can help. When I say 'the AI handles it', I mean these are tasks current technology can manage today if set up correctly. It's not about promising miracles.
Monday to Friday, the absorbable layer
The inbox's repeating half
'are you open', 'do you do X', 'how much is Y', 'where's my order'. The AI answers these — accurately, because it's grounded in your real prices and policies — and flags the ones that need you. This alone is often hours a week.
Quotes and follow-ups
Notes go in, a draft in your format comes out for approval; unanswered quotes get a polite nudge you approved in advance. Money stops leaking from forgetfulness.
Bookings and reminders
Taken around the clock, confirmed automatically, reminded before the slot — no-shows shrink without you hounding anyone.
Reviews and messages
A new review gets a drafted reply the same day; the same eleven social DMs answered; the voicemail from lunch transcribed into a to-do.
The paperwork edges
Invoices chased politely, a document summarised to its three decisions, a supplier email turned into a calendar entry.
The hours AI does not give back
The actual trade — the haircut, the boiler, the filling, the cooking — is untouched; nothing here does your craft. The judgement layer stays yours: pricing something unusual, the complaint that needs a phone call and a human voice, the decision about whether to take the big awkward job at all. And there's a small new cost that honest accounting includes: minutes per day approving drafts and, occasionally, correcting the assistant — much smaller than what it replaces, but not zero. Anyone who quotes you a week where AI absorbed everything is describing a business with no humans in it, including customers.
Where the return actually lives
Notice that most tasks in the list happen at the edges of the day. It's early, late, during jobs, or over lunch. That's why the return is often bigger than the hours suggest. It's not just time saved. It's enquiries that don't stop at 7pm, quotes that stay fresh, and evenings that stay yours. Find your version of this week by naming two or three jobs that made you wince. Those are the ones to start with.
